This Privacy Policy explains what information the Scale Advisors Data Dashboard (the “Service”) collects, how we use and protect it, who we share it with, and the choices and rights you have. It is written to be read, not to hide the ball.

1. Who we are and how to reach us

The Service is operated by Scale Advisors LLC (“Scale Advisors,” “we,” “us,” or “our”), a limited liability company organized in Virginia, United States. 2. Our role: who controls the data

The Service is a business analytics tool. Most of the information it processes belongs to your business and to your customers, and it flows in only because you choose to connect your own accounts on other platforms.

3. Information we collect

a. Account and contact information

When you sign up or are invited, we collect your name, email address, business name, role, and authentication details, plus billing information if you purchase a paid plan.

b. Data from platforms you connect

When you connect a third-party account, we access data from that platform’s official API on your behalf to produce your analytics. Depending on which platforms you connect, this may include:

What we deliberately do not keep. The Service is built to minimize personal data. Wherever we can compute your numbers without it, we do: we irreversibly hash identifiers (such as IP addresses) and strip raw personal details before storage, retaining mainly amounts, product/SKU codes, dates, and aggregated figures. We do not need or retain full payment card numbers, and we avoid retaining raw customer contact details except where strictly required to produce a feature you have enabled.

c. Connection credentials

To keep your connections working, we store the access tokens or API keys for the accounts you connect. These are encrypted and used only to retrieve your data from, or (at your instruction) push data to, the connected platform.

d. Usage and technical data

We collect standard technical information needed to operate and secure the Service, such as log data, device/browser information, and cookies or similar technologies used for authentication and to keep you signed in.

4. How we use information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. Data obtained from a platform you connect is used to provide the Service to the account that connected it and as described in this section. We may also create and use aggregated, de-identified statistics — such as industry benchmarks — that do not identify, and cannot reasonably be used to identify, you, your business, your customers, or any individual. A benchmark figure is shown only when it is drawn from enough accounts that no single business’s data can be singled out, under documented minimum-aggregation and suppression rules we maintain and apply consistently. We maintain these statistics in de-identified form, take reasonable measures to ensure they cannot be associated with any individual or household, do not attempt to re-identify them (except as permitted by law to test our de-identification safeguards), and contractually require anyone who receives them to commit to the same. Where a platform’s developer terms restrict combining data across accounts — including Amazon Selling Partner API and QuickBooks Online data — we exclude that platform’s data from benchmark statistics. We do not use your data to serve advertising, and we do not use it to build, train, or improve any competing product, or provide it to any third party for their own products, consistent with the terms of the platforms we connect to (including Meta, Google, Amazon, Shopify, and Intuit).

5. Artificial-intelligence features

The Service includes AI-assisted features (such as an in-app assistant and automated insights). To provide these, relevant data from your screen or account may be sent to our AI provider to generate a response. Our AI provider processes this data only to return results to you and does not use it to train its models. AI-generated output may be incomplete or inaccurate and is provided for your information only — see our Terms of Service.

Where we access data through a platform’s API, we handle that data in accordance with that platform’s developer terms, in addition to this Policy:

8. Security

We use reasonable administrative, technical, and organizational measures designed to protect information, including encryption of connection credentials at rest, encryption in transit (TLS), access controls, and least-privilege practices. No method of transmission or storage is perfectly secure, and we cannot guarantee absolute security. If we become aware of a security incident affecting your information, we will notify you and any platform or regulator as required by applicable law and platform terms, without undue delay.

9. Data retention and deletion

We keep information for as long as your account is active or as needed to provide the Service, and thereafter only as required for legitimate business or legal purposes (such as accounting, dispute resolution, and enforcing agreements). When you disconnect a platform, we stop retrieving new data from it. For QuickBooks, we also stop using saved reports in the review and profit workflow once the connection is inactive. Disconnecting does not itself delete previously imported data, encrypted connection credentials, or audit history. To request deletion of your account or connected-platform data, email help@scaleadvisors.com. After we verify the request, we process it as described on our Data Deletion page. Where a connected platform imposes specific retention or deletion requirements on data obtained through it, we honor those requirements.

10. Your rights and choices

Depending on where you live, you may have rights over personal data, including to access, correct, delete, port, restrict, or object to processing, and to withdraw consent. California residents (CCPA/CPRA) may request the categories and specific pieces of personal information collected, request deletion or correction, and opt out of “sale” or “sharing” — note that we do not sell or share personal information — and will not be discriminated against for exercising these rights. Residents of the EU/EEA and UK (GDPR) have the rights described above and may lodge a complaint with a supervisory authority.

Because much of the connected data belongs to your business and your customers (where you are the controller), please direct requests about that data to the business that connected it; we will assist that business in responding. To exercise rights over information for which we are the controller, or to reach us, email help@scaleadvisors.com. We will verify your request as required by law before acting.

11. International data transfers

We operate in the United States, and information we process may be stored and processed in the U.S. and other countries. Where we transfer personal data from the EU/EEA, UK, or Switzerland, we rely on an appropriate transfer mechanism, such as the European Commission’s Standard Contractual Clauses, together with additional safeguards where required.

12. Children

The Service is a business tool intended for use by businesses and individuals who are at least 18 years old. It is not directed to children, and we do not knowingly collect personal information from children.

13. Changes to this Policy

We may update this Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised Policy.
